Third-Party AI Services Notice

Version 2026-10-08 · Effective 2026-10-08

CreateX's assistant, digital staff, voice input and meeting transcription are powered by third-party AI services. This notice explains what is sent to those services, to whom, why, and how to withdraw your consent.

The mobile app shows this notice after you sign in and before you start using it; you can use the app only after you agree. The AI features of the web and desktop apps process your content in the same way, but those apps do not show this notice or ask whether you agree; processing there takes place under the arrangement through which your company provides the Service to its staff.

01What is sent

  • Messages: what you send to My Assistant and in work chats, messages that mention the assistant in a group, and the context needed to complete the request (for example the recent conversation, related tasks, schedules or meetings, and what the assistant remembers about you).
  • Files and images: the content of files and images you attach to messages or ask your assistant or digital staff to work on.
  • Audio: voice input and meeting recordings, transcribed into text as you speak; meeting transcripts and notes you provide are also used to generate minutes.
  • Desktop app: the content of files on your computer that the assistant reads when you ask it to work there.
  • Company knowledge base: files your company uploads to its knowledge base, and the passages relevant to your question.
  • Web search: search terms generated from your question when public web information is needed.

We send only what is needed for the request at hand, and never your password.

02Who receives it

The content is sent to the following categories of third-party service providers:

  • Large language model providers: understand your request and generate replies, card drafts, meeting minutes, report drafts and file content.
  • Speech recognition providers: turn voice input and meeting recordings into text.
  • Web search providers: return search results from public web pages.
  • Document parsing providers: extract text and tables from files in the company knowledge base.

03Where it is processed

Our servers are in Hong Kong; the providers above may process your content outside Hong Kong. We require them to process it only to provide their services to us and to protect it to a standard no lower than our Privacy Policy.

We change providers from time to time; if the categories of providers change, we will update this notice and ask you to confirm again in the mobile app.

04Why it is sent

These services are what make the AI features work: without them your assistant cannot understand or answer your messages, digital staff cannot deliver results, and recordings cannot be turned into text.

We do not use your content to train or fine-tune models, and we do not sell it.

05AI output can be wrong

  • Replies, minutes, transcripts and files generated by AI may be inaccurate, incomplete or untrue. Check them before you rely on them, and use your own judgement for important matters.
  • Anything that writes or sends business data (creating a schedule, sending a task request, setting up a meeting and so on) asks for your confirmation first. Check the card before you confirm.
  • AI output is not legal, financial, medical or other professional advice.

06Your choice and withdrawing consent

  • Mobile app: you need to agree to this notice before you can use the app. If you decline, you cannot use any part of the mobile app (including chats, schedules, tasks, meetings and settings), and the app on that phone sends nothing to AI services; you can log out and come back to agree at any time.
  • Withdrawing: you can withdraw your consent at any time in the app under Me → Privacy & policies. Until you agree again, the app on that phone then stops at this notice and cannot be used; you can agree again or log out. Withdrawal does not affect processing completed before it.
  • Withdrawal applies only to the app on the phone where you withdraw. It does not stop AI processing in the web app, the desktop app, or the app on another phone where you have agreed. If you have questions about processing in the web or desktop apps, contact your company administrator or email us at the address below.
  • For retention, security measures and your rights, see the Privacy Policy and the Personal Information Collection Statement.
